Challenge

A leading open deck transportation provider with more than four decades of experience had built its reputation on safety, reliability, and operational excellence. As the organization continued to grow, however, some of its internal processes had not evolved at the same pace as its service standards.

Driver transport records and inspection findings were managed through a large, manually maintained Excel file. While functional in the early stages, the spreadsheet had become increasingly difficult to manage. The process was time-consuming, prone to human error, and not designed for multiple concurrent users. Collaboration across the tracking team was limited, version control was challenging, and visibility into trends or historical data required significant manual effort.

Recognizing the risk this posed to efficiency and scalability, the organization sought a more modern solution. They needed a centralized, user-friendly application that could integrate their data, streamline inspection workflows, support multiple users simultaneously, and provide real-time visibility into driver records and findings. The goal was clear: reduce administrative burden, improve inspection turnaround times, and strengthen data transparency across the operation.

Solution

To modernize its inspection tracking process, the organization partnered with Hakkoda to design and implement a centralized, application-based solution that replaced its legacy Excel tracker. The new platform consolidated transport records and driver findings into a single, secure environment, eliminating version control issues and reducing reliance on manual data entry.

The solution was purpose-built to support multiple users simultaneously, enabling the tracking team to collaborate in real time without disrupting workflows. Automated validation rules and structured data inputs reduced the risk of human error, while streamlined workflows shortened inspection processing times and improved overall operational efficiency.
